Account statement emails list the open invoices
When you attach an account statement to a message, the email names each of the customer's open invoices, the same ones the statement shows. Each template decides whether their PDFs go out too.

When you attach an account statement to a message, the email names each of the customer's open invoices, the same ones the statement shows. Each template decides whether their PDFs go out too.
The subject and message of an account statement are written with the Insert menu, like a message template.
A journal entry that touches accounts receivable in QuickBooks reaches Finaxis, on the account of the customer it concerns. A credit reduces what they owe, and a charge is added as an amount due.
A Finaxis template your team doesn't use can be deleted from your list and from the composer. It can be restored later exactly as it was, your edits included.
The signature of a Gmail or Google Workspace mailbox is imported automatically. For Outlook and Microsoft 365, as for a signature built in a signature tool, Import a signature takes the HTML signature as it is, layout and images included. Signature images go out embedded in the email.
The My full name field puts the name of the user who sends the message into an email, a text or an account statement. The contact's field is now called Contact full name.
A postdated cheque is recorded with its date, its amount and the invoices it pays. Reminders for those invoices are paused until its date, and on the day, a notification reminds you to cash it.
An internal note is added and edited in a window, with an editable Note date, and the profile sorts notes by that date. The call brief also has a Call date, so a call is logged at the time it took place.
Clicking an invoice or a credit opens its details: status, total, paid and balance due, dates and terms, with Payments, Reminders and History tabs. From there you can also copy the payment link, open the PDF or send a reminder.
In the customer profile, Activity opens on three tabs: History, Communications and Internal notes. History lists, newest first, the invoices and credits issued, payments, emails, texts and calls, notes and payment promise due dates, in a Compact or Detailed view.
In the email and SMS editor, the Insert button, after the styling tools, groups the fields, the For each invoice loop and its fields. The menu explains what the loop does.
Edit client opens inside the profile, full width and on two columns on a large screen. Account managers read as a list: a star marks the primary one, and Add a manager searches the other users.
A payment promise is recorded with the amount and date agreed with the customer, on a call or by hand. Automatic reminders follow it on their own: paused while the promise is pending, they resume if the invoices are still open.
Disconnecting QuickBooks asks for confirmation, and the company's data is archived for 30 days. Reconnecting the same company in that time restores its customers, contacts, invoices and payments, with their assignments. Actions and reminders are not restored.
In the top bar, Search customers or pages shows matching customers from the second character, with their overdue invoices and risk level, along with the menu's pages. Empty, it offers your recent customers, and ⌘K or Ctrl K puts the cursor in it.
The QuickBooks connector page names the connected company, and the last company connected once the connector is disconnected. The Acomba page names the synced company and its company folder, with Acomba agent 1.4.0 or later.
In the Customers list, the Note contains filter keeps the customers whose internal notes or profile Notes field contain every word you type, regardless of case or accents. Billie can also find customers through their notes.
In a customer's profile, Activity log shows the operations that targeted them and the bulk sends that reached them, without leaving the profile. It is available to instance administrators.
On the HubSpot connector page, the New contacts report runs daily, weekly or monthly. It counts the contacts linked to a customer and those without a match, and opens the Customer matching section.
When your Slack, Teams or Google Chat account answers for another instance, Profile › Notifications names it and offers “Connect Billie to this instance”. That instance's notifications then reach your chat.
In the customer profile, the invoice table adds a Total overdue tile, the sum of the overdue buckets per currency. Two columns can be switched on from the gear: Last payment date and Total paid.
The bell announces the customers assigned to you and who assigned them, in one notification per assignment. A click opens the list filtered on your accounts, or the customer's profile when there is only one.
My profile groups Information and Security under My account, then Notifications and Mailbox under the open instance. A banner names that instance and lets you switch without leaving the page.
In chat, Billie can answer with a bar, line or pie chart, placed inside its reply as it is in the app.
The bell in the header flags your customers' replies to reminders, finished CSV imports, failed syncs, and disconnected connectors or mailboxes. One click opens the page concerned, and the Notifications page keeps the history, with filters by type.
Once your chat account is linked to Billie, the bell's notifications arrive there too, each with a button that opens the page concerned.
In the composer, the Invoices button gives each targeted invoice its own PDF switch. The invoice stays listed in the message, and its PDF is attached only when the switch is on.
In your profile, under Notifications, each type has its own switch for the app, chat and email, for each instance. Sync and disconnection alerts always stay on in the app.
In all four Actions tabs, the table header stays visible under the top bar while the page scrolls, as it does in Customers and Accounts receivable.
In Settings, the Export portfolio button downloads every open invoice and credit in your portfolio as a CSV.
In Collection history, the Export CSV button in the Collected invoices section exports every invoice for the selected period and account owner, in the table's sort order. A block at the top of the file restates the period, the account owner and the currency.
On a large portfolio, the Customers list opens and responds quickly: it loads one page at a time, while sorting, search and filters cover every customer.
The Help and feedback button, at the bottom left, lets you report a problem, ask a question or leave a comment. For a problem, the page is captured and you can annotate it before sending.
On the customer sheet's Contacts page, Add a contact and each contact's pencil open the same dialog. It also opens from the composer's recipient picker, where the new contact is ticked.
The composer has a Bcc field next to Cc. In Cc or Bcc, you can copy a member of your team or type an address that is not one of the customer's contacts, such as an external accountant's.
On the customer sheet, the Templates page records who receives what you send: a default list, one for automatic account statements and one per message template. Automatic reminders go to the default list, and the composer starts from the chosen template's list.
In Settings, under Company, pick a primary colour and an accent colour for the account statement, which also carries your company logo. A preview shows the document with your settings before you save.
In Settings, under Account statement, choose to send the statement alone or with the PDFs of the invoices it lists, and change that choice customer by customer. The statement shows open or partly paid invoices and the credits still available.
The search in the Customers list finds a customer by external ID, such as the customer number from a CSV import. The ID appears under the name on the customer sheet, and an External ID column can be turned on in Table Columns.
A reminder can list and attach all of the customer's unpaid invoices, and the composer's Attachments button brings the invoices and the account statement together. If the PDFs are too heavy for the sending mailbox, the composer offers to attach the account statement, and the invoices stay listed in the message.

The Acomba connector displays in French or English, chosen at install. In its settings, you also decide whether its updates install automatically, once you approve them, or only when you check for them.
At install, the Acomba connector offers two modes: the Windows service, which syncs around the clock, or the Acomba Sync app, which syncs while the user is signed in, with that user's own network access. The mode can be changed later in the connector's settings.
Billie ranks your customers by what they owe in the 91+ days bucket, net of their credits, and names the first one to collect with its figures.
When the customer has a credit on file, the reminder window shows it under the total balance due, with a banner giving the amount. The credit is not deducted from the balance.
In the Aging Report, an Acomba or QuickBooks preset sets the page to the shape of your accounting software's report in one step. Until you change anything, the page opens on your connector's preset. It sits in the Administration menu.
Set the number of periods and the number of days per period. Credits have their own column, between the periods and the total, and three display options control how they read: apply credits to invoices, show customers in credit surplus, show accounts at zero.
On the customer sheet, an invoice's payment history gives the type of each line: payment, credit note, overpayment, deposit, refund or manual payment.
A Stage column in the sync history shows where the import is: receiving data, importing customers, invoices, payments, then finalising.
A reminder can now go to several people at the same customer, with recipients in copy. Every send is tracked person by person, so you can see who received the message and who did not.
Reminder templates are edited in Settings, under Message templates. Each portal has its own, and for each one you decide what is attached to the email: the invoices, the account statement, both or neither.
When a customer replies, the reply window opens on a draft written by Billie. You review it, adjust it if needed and send it.
On the customer sheet, you can delete the contacts created in Finaxis. Those that come from a connected system stay protected.
While a sync runs, the Customers, Contacts, Invoices and Payments columns show how many items have been processed out of the total.
Each portal now works in its own currency, and an invoice's exchange rate is frozen the moment it comes in. Historical Bank of Canada rates have been imported, so a report on last year gives the same figure today as it did then.
A new wizard recognises what each file contains, has you confirm it, then guides you through mapping the columns. A review step shows you the result before anything is imported.
A guide you can hand to ChatGPT, Claude or Gemini to get your files into the right shape before importing them.
Your receivables aged on the invoice date, so your figures match the ones in your accounting system.
The customer sheet shows a customer's credits apart from their invoices. In the receivables report, each credit is aged on its own date.
A page under Settings retraces the portal's activity: notes, assignments, payments, syncs. Each customer sheet links to its own log.

Before you call a customer, Billie prepares a brief: the state of the file, the points to raise, and material for the usual objections. After the call you log the outcome, a promise to pay included, and the call joins the customer's history.
On the dashboard, every row of the per-owner breakdown opens that owner's full 30-day collection history.
Billie only sees what your role lets you see. Permissions apply to the assistant's tools the way they apply to the rest of the portal.
Three chat gateways for your team. The daily case lands in your channel and the /finaxis command answers in the conversation. These gateways serve your team: reminders to your customers still go out by email and SMS.
A customer's analysis is broken into seven parts, quicker to produce and easier to read. The same analysis reads in French or English.
A Risk section in settings. You set the days without payment and the minimum overdue balance that put a customer at the Dangerous level. Warnings follow your settings.

The Actions page has four tabs: to approve, send queue, sent, trash. A side panel opens an action without leaving the list.
A daily email summing up the cases waiting for you, with a link that opens the case without going through the login page. You choose the send window and who receives it.
Send your customers an account statement automatically, weekly, monthly or yearly. One setting covers everyone, and any customer can have their own.
Twelve indicators, each opening its own detail, an account owner selector and six-month trends. When there is nothing to show, it shows why: sync in progress, no data, no receivables.
HubSpot joins the Finaxis connectors. A four-step wizard has you map your fields, choose what syncs and confirm your customers. Fields are grouped by type, and mismatched mappings are flagged.
Select several invoices and download them as a single zip, or delete them in one operation. The default reminder mailbox also has a configurable signature, added to manually sent emails.
The QuickBooks history shows a status per run: waiting, in progress, completed, completed with errors, failed.

An invoice changed in QuickBooks reaches Finaxis in near real time, without waiting for the next sync.
Select several customers in the list and delete them at once. The confirmation asks you to type a word, so nothing is deleted by accident.
Finaxis only processes what has changed in QuickBooks, which shortens syncs. A Force full sync button pulls everything again from scratch when you need it.
Attach a screenshot or a photo of a document to your conversation with Billie.
To add a Gmail or Outlook mailbox, you connect the account first. The email address is taken from the connected account, with nothing to type.
The assistant offers charts more often, and its welcome screen shows suggestions as cards.
When you move from one portal to another, you stay on the page you were on.
QuickBooks and Acomba already carry your customers' language. Finaxis reads it and writes in the right one, with nothing to re-enter. A default language covers contacts that have none.

Ask your questions in French or English and Billie answers from your data. Each conversation gets its own address, to bookmark or pick up later.
A customer's reply to an SMS lands in the portal that sent the reminder, even when their number appears in several portals.
The session renews in the background, and the inactivity window counts from your last action.
Billie can answer with a chart, shown right in the conversation. It is still there when you reopen it.
A button fills in the full amount when recording a payment. The send time is typed in. The Receivables page has pagination and a header that stays visible. And the side menu has been reorganised.

Settings are grouped into sections: company and goals, users, assignments, email, integrations, security. Data import moves in with them. The user menu brings your profile and your portals together, and takes in your language and theme preferences.
Indicators at the top of the page, saved views and a kanban display. The customer assignment page moves to two columns, with an action bar that follows the scroll and a guard against unsaved changes.
Sign-in, two-factor authentication, portal selection, forgotten password, invitations: every entry page has been rebuilt. And if you are already signed in, you go straight to the portal you last used.
Acomba connects to Finaxis: pick the company to sync, manage the workstations that bridge the two, and schedule the syncs.
The customer sheet has been redesigned. The action panel opens full screen, keeps its toolbars visible while you write, and reply mode cleanly separates the conversation from what you are composing.
What was collected over a period, the week-by-week trend, and the list of invoices behind the figure.
